Ready for 2026? – Start the new financial year fresh with this checklist

The end of the year is near – the perfect time to get everything in order and step into 2026 well-prepared. This checklist will help you finalize your administration, so it’s ready to hand over to your bookkeeper.

  1. Collect all invoices you’ve sent out and make sure they are uploaded to your administration. Also, check immediately if your invoices have been paid, or update the payment date.

  2. Upload all your business expenses to your online administration and add all receipts and invoices to justify them. You’re not allowed to reclaim VAT if you do not have a receipt or invoice with a VAT specification, so always include them.

  3. Don’t forget to link all bank transactions in the bank connection to your booked administration. This way, you won’t miss any expenses and your bookkeeper can easily check your transactions later.

  4. Always double check all major business expenses, such as the purchase of a computer, camera or telephone. In addition, the end of the year is the perfect time to check if it pays off to make other investments. If you invest more than €2.901 excluding VAT in 2025, you can make use of an additional investment deduction: the KIA. So, if you’re just below that threshold at the moment, it might be attractive to make an extra business investment before the end of the year.

  5. If this is the first time we’re filing your annual accounts and another bookkeeper has handled the previous financial year, please add the annual accounts of 2024 to the questions regarding your business data.

  6. On January 1st, you can submit the data for compiling the annual accounts under ‘business data’. Download the transactions of all business accounts and savings accounts and add them. Please double-check carefully that you don’t overlook any account.

  7. Do you have a business account with ABN Amro? Put a reminder in your calendar to download your transactions in a CSV or XLS file on January 1st and add them to your business data. This is only possible going back 1.5 years and is necessary to compile your annual accounts.

  8. If you have an extended financial year (2025-2026), you don’t need to submit data yet, because we will not compile the annual accounts until next year. However, please note that if you have a business account with ABN Amro, you do need to download those transactions now!

  9. Did you switch from a sole proprietorship (eenmanszaak) to a BV in 2025? It will be new to you that we check the bank transactions. If we handled the conversion, we will retrieve the previously booked administration from the system. No worries, the bookkeeper can explain everything about this.

If you have any further questions or if you’re uncertain about something, you can always contact your bookkeeper. Happy fresh financial year!
